Empowering HWB members to advance clinical, community, and formulary practices.

HWB has launched the pilot cohort of the HWB Clinical & Community Herbalism and Aromatherapy Mentorship Program, created to help members build real-world skills through structured, hands-on mentorship.

This program is open to current HWB members who volunteer under our 501(c)(3) umbrella and are accepted into the mentorship program. HWB membership is required for all mentees due to HWB’s general liability requirements.

Whether you are seeking clinical experience, community herbalism skills, aromatherapy clinical supervision, formulary practice, or documentation support for professional goals, this pilot is designed to provide a guided, supportive pathway. In-person opportunities are limited by location and mentor/site availability, with remote options available for mentees without a local group.

OUR MISSION

  • Provide direct clinical and community volunteer opportunities in free clinics, local chapters, and partner projects.
  • Offer accessible, structured mentorship both in person and virtually so supervision is possible regardless of geography.
  • Document and verify experiential learning, volunteer hours, and clinical/formulary activities to support industry-recognized credentialing requirements where applicable.
  • Build a collaborative network that strengthens community herbalism, clinical aromatherapy, education, mutual aid, and the U.S. Donation Network.

PROGRAM PATHWAYS

Clinical Herbalism Mentorship

Progressive, supervised roles in HWB free clinics or via Zoom where available. Mentees may begin with intake/support, guest services, observation, documentation, and case review, then gradually move toward co-consulting and independent consultations with mentor oversight. This pathway may include case studies and reviews, clinical hour sign-off and tracking, documentation support, and protocol development where appropriate.

Community Herbalism Mentorship

Mentorship with community herbalists and chapters to support nonclinical community care, including education and outreach, wellness events, supply preparation, apothecary work, labeling, organizing, forms, tracking, volunteer coordination, and serving communities. This pathway supports practical skills in GMP-aware workflows, labeling, event planning, public herbalism, and community-based herbal support.

Clinical Aromatherapy Mentorship — In Person or Virtual

For mentees seeking clinical experience in aromatherapy. In-person opportunities may include supervised participation in free clinics or community settings where mentors and sites are available. Virtual options may include consultation observation when available, case discussions, simulated intakes, intake review, documentation practice, safety screening, dilution and delivery guidance using pre-approved products, client education, care-plan development, follow-up review, and scope-of-practice support. This pathway is focused on clinical aromatherapy practice and does not include formulation as the primary focus.

Virtual Clinical Experience

A remote option for mentees without local access to HWB free clinics or mentors. This pathway may include remote observation of consented or de-identified consultations when available, case discussions, simulated intakes, intake reviews, documentation practice, client review, care-plan development, and case study support. This pathway is ideal for mentees who need clinical exposure, documentation practice, and case-based learning but do not have a local group in their area.

Formulary Experience Mentorship / U.S. Donation Network Track— In Person or Virtual

A needs-driven formulation and product-support pathway through the U.S. Donation Network. Mentees may assess community requests and available inventory, design products to specifications, review formulas and labels, complete SOPs and batch/label/QC records, track outcomes, review recipient feedback, and create case study-style documentation. This track includes attendance tracking, hour tracking, case study review, and documentation support. Optional in-person volunteering may be available at the Wisconsin site for making, packing, and shipping. Where possible, U.S.-based mentees may receive limited samples or supply lists for hands-on learning.

Additional clinical herbalism and community herbalism opportunities may be available depending on mentor, clinic, chapter, and project capacity.

PROGRAM STRUCTURE & OPERATIONS

Application and Matching

Agreements and Onboarding

Upon acceptance and matching, mentees complete onboarding, sign required agreements, and maintain active HWB membership throughout participation. Required forms may include a mentorship agreement, volunteer waiver, confidentiality/privacy agreement, Code of Conduct, and any site-specific forms. Mentees also agree to follow HWB policies, documentation standards, scope of practice expectations, and all applicable clinic/site protocols.

Ongoing Support and Evaluation

The pilot cohort will include a kickoff training webinar for accepted mentees, monthly mentee meetings for group learning and support, bimonthly mentor meetings, case study or project review, documentation support, and hour tracking as applicable. Mentors provide guidance, feedback, and support. Verification of completed hours and participation may be provided when requirements are met.

EDUCATION & TRAINING COMPONENTS

The mentorship program may include:

  • Training on scope of practice, consent/confidentiality, documentation, safety, sanitation, culturally responsive care, and trauma-informed practice.
  • Case discussions, intake review, simulated practice, formulation review, and skills development depending on pathway.
  • Access to HWB member webinars, roundtables, educational resources, and relevant learning opportunities.
  • Independent study or project work such as case studies, educational materials, protocol drafts, formulary proposals, label review, and documentation projects.
  • For formulary learning, HWB may provide sample kits to U.S.-based mentees when feasible, or provide supply lists and virtual assignments.

INTRODUCTORY PILOT PRICING

HWB is intentionally keeping pilot cohort dues very low in alignment with our mission and commitment to access. These fees do not reflect the full labor required to run the program. They help offset only a portion of the office and administrative work required for applications, matching, onboarding, scheduling, communication, documentation, hour tracking, attendance tracking, case study review, and verification.

Mentors are volunteers for the pilot cohort. Program dues support administration rather than mentor compensation.

Introductory pilot pricing:

  • $20/month clinical
  • $10/month community
  • $5/month virtual formulary

HWB membership is also required due to general liability requirements.

BUILDING COMMUNITY & PROFESSIONAL EXCELLENCE

Through this program, mentees gain practical experience while supporting HWB’s larger mission of community herbalism, mutual aid, and access to care. The mentorship program helps build capacity for free clinics, community outreach, clinical aromatherapy, formulary support, and the U.S. Donation Network.

Structured documentation and evaluations may support portfolios for professional recognition, such as AHG RH preparation, aromatherapy credentials, continuing education, or professional development, where applicable. Mentees are responsible for confirming whether documented hours meet the requirements of their credentialing body or regulatory organization.

Participants must comply with all applicable laws and regulations in their city/county, state/province, and country, including scope of practice, labeling, and GMP or GMP-like requirements where applicable.

Clinical and community opportunities vary by location. Some regions may primarily offer virtual mentorship or Donation Network placements. HWB cannot guarantee local, hands-on clinical opportunities in every area or sample shipments outside the U.S.

HWB mentors are unpaid volunteers during the pilot. Mentors carry their own professional/practice insurance; HWB provides general liability coverage for members under our 501(c)(3). Volunteer Protection Act provisions may apply where eligible.

HWB reserves the right to approve, rematch, pause, or end participation to protect safety and program integrity.
